Outpatient Operations Support Training Program

Clinical Assistant

The Mayo Clinic Outpatient Operations Support Training Program involves classroom learning, on-the-job training and mentorship. Through the program, you'll learn:

  • The basic skills needed to perform the three Outpatient Operations Support roles: patient service representative, clinical assistant and patient appointment coordinator
  • How to cover open positions during surgical, medical and parental leaves
  • What you need to know so that you can be hired for available permanent positions

After the program, you'll be qualified to work as a patient service representative, clinical assistant or patient appointment coordinator. Full-time positions are 40 hours a week. Part-time positions are available, but may require full-time hours for training or other purposes.

Please note that participants are required to successfully complete a college-level medical terminology class. The training department is in the 201 Building on Mayo's downtown campus.

The responsibilities associated with each Outpatient Operations Support role are:

Patient service representative

  • Performs various clerical, electronic and customer service duties including management, maintenance and flow of patient information (medical records and test reports)
  • Coordinates physician and patient appointment schedules
  • Receives patients and visitors
  • Answers phones
  • Performs a variety of other support activities

Clinical assistant

  • Facilitates patient visits and supports the health care provider by anticipating and responding to patient needs and health care team requests
  • Coordinates details of patient visits including:
    • Coordinating appointment schedules and daily activities of the care providers
    • Preparing patients for appointments
    • Completing pre-examination record information
    • Managing the flow of patient materials
    • Communicating scheduling delays or changes to the appropriate individuals

Patient appointment coordinator

  • Independently schedules and confirms patient appointments through managing department calendars
  • Accurately determines the nature of the patient's problems, the type of appointment, appropriate area to be evaluated and the urgency of the appointment
  • Answers phone calls, taking a brief medical history, and independently makes appropriate patient appointments
  • Pre-schedules appropriate tests as directed by the department
